Recurring Tasks

There are many things that must be done on a recurring basis and need accountable deadline standards. Examples: email blast must go out every tuesday by noon, collections must be updated every friday by 5pm and so on.
How does Asana address or suggest managing these recurring tasks that may recur... daily, weekly, bi-weekly, monthly, quarterly, annually?

Currently we don't support this at a system level but have been receiving enough requests for similar functionality that we are considering our options. We've made sure to record these suggestions for the future to help inform design decisions.

We're designing this feature now and would love to know more about what you're looking for. Can you let us know what you're using for recurring tasks now, and how you'd like to see them in Asana?

For example, would you be ok if when you marked a recurring task as complete, a new task with the next due date appeared in it's place? If the task was marked as "Upcoming" or "Later" and assigned to you, you'd get reminder emails starting 1 week before it's due.

Or if that's not good for you, let us know how you'd like it to work.

If you set a due date for a task, you will see an option to "set to repeat" beside the due date field.

Here's another vote for it. Within an organization there are so many recurrent tasks - if every task were "new", it would be almost impossible to manage a large group of people.

I am looking forward to seeing recurrent tasks in Asana. Besides that, it is exactly what I've been looking for: something easy, fast and efficient.

Different views that show overdue / due today / due this week can just be configured on the default landing page (assigned to me), so one can get an idea of tasks/projects with strict deadlines at one place, the due date parameter is already there so it can be leveraged to make due date based views. This won't solve recurring problem, but at least there is a view of tasks due.

As I've seen elsewhere, recurring works best when you have two options: either "repeat every week, regardless of when I complete the initial task" or "repeat one week after I complete the task", which gives you loads of flexibility in determining your recurring structure.

For the first option, where there could potentially be multiple instances of a task if I don't complete the first one (or two or three or...), what I would like to see is the ability to set the tasks to automatically generate a set number of days prior to their scheduled due date - for instance, if I need to complete a TPS every Friday, that means I've got 52 tasks for the year. I don't want to see all those tasks all the time. If asana could "hide" the task until 1 or 2 or whatever number I choose days before the due date, it would keep my task view uncluttered.

For the second option, the n+1 task wouldn't generate until n is complete, so that wouldn't be an issue.

If you pull this off, I'll finally be able to let go of the other task manager that I currently use. As it stands now, I cannot completely commit to asana without recurring tasks.

-Every N Days, Every N Weeks, Every N Months, Every N Years.
-New task is inserted in date order immediately after prior occurrence completion. -Only one recurring task in series is ever listed.
-If recurring task is over due beyond next recurrence, when completing the over due task the next occurrence should be the next possible (not over due) occurrence.
-Recurring tasks should have some visual indicator.
-A separate sort view for viewing by date vs. priority. In date view sort all tasks with date first, tasks with no date sorted priority after.

Yes, I vote for recurring tasks - as soon as possible!!

In the meantime, I've been using the "Tickler" project (I subscribe to David Allen's GTD philosophy too) in which I have a "Recurring" section. Not optimal, somewhat kludgy, but it let's me create a new task when I review this file periodically.

Another vote. Looking for repetition from due date and repetition from complete, and weekly, monthly and yearly repetition. Would be great if we could use "3rd Wednesday of the month" as an example. And as mentioned, I don't want to see the next instance until the last is completed.

Without this functionality, this is a no-go.

Also, consider emulating typical options for recurring calendar events. For example, Yahoo Calendar events can recur Daily, Weekly, Monthly or Yearly with the following frequency & duration options...

Frequency Options
1. Recur Daily every ___ # of days, weekdays only, weekdays only
2. Recur Weekly every ___ # of weeks, provides check boxes to select days of the week (e.g., on Mon, Wed & Fri)
3. Recur Monthly every ___ # of months, the same day every month, or the 1st/2nd/3rd/4th/last ____ (day of the week: Mon, Tue, etc) of the month
4. Recur Yearly every ____ # of years

Duration Options
1. No end date
2. After ___ # of times
3. By _____ date

The repetition rules as such (e.g. every week etc) are pretty straightforward (just like in any other app, e.g Google Calendar, Toodledo, Remember the Milk etc).

What I would like to see in addition to this (also quite common in todo-apps) is a "Start date" or "Scheduled date" at which time task will begin to show in the Today list. This makes it possible to set a time window during which the task should be done.

Another powerful feature to include is an associated or embedded checklist (quite often useful for non-repeating tasks also), such that each time that for example the Housekeeping task comes up every Friday you can check off all the myriad things one at a time in that checklist. Then next Friday, you get a fresh housekeeping task with a fresh (unchecked) checklist.

I have tasks that repeat daily, semiweekly, weekly, biweekly, and monthly. I currently use Google Calendar with email reminders to track them. Flexible scheduling like Google calendar or RTM would be perfect for me. I like the idea of when one is completed the next is created with the new due date.

Be able to preset assigned to, priority, and due date.
Be able to set frequency.
Be able to set when you start seeing the task (by a date or by number of days before).
Be able to set number or duration of repetitions.

I personally do not like when the new version of a recurring task shows up immediately in a to-do list. Once I finish the task, it is finished, and I want to be able to [not] visualize that task and move on to other tasks immediately. Plus, most recurring tasks require that some time pass between doing them again (I can't do my taxes for the next 20 years tomorrow), so I wouldn't want it to take up as much real estate in my task lists as something I can actually start immediately.

There are some tasks for which there is a weekly quota (deadline Friday) and which require a small amount of time every day. So if they could always remain on a to-do list, but with a Friday deadline, that would be helpful.

I haven't been using Asana for very long, but here are my personal requests for this feature:

• put a badge on repeating tasks so they're easily identified
• put them in the "later" pile when over a week away, then "upcoming" when < a week, then "today" on the day of
• use due date as repeat date, and have a simple option for: repeat daily, repeat weekly, repeat bi-weekly, repeat monthly, repeat yearly
• only slightly related, but some sort of timeline view would be really cool! But I guess you have ical integration for that...

Sorry if some of these don't make sense - like i said, I'm an Asana noob!

Recurring tasks are very important!
Being a small business, keeping track of things like business license, professional license, taxes etc that are on a quarterly or yearly basis is extremely helpful.

Also it would be great to have the ability to make all tasks under a particular priority heading recur. As an example, all the tasks required for putting on an annual event such as a health fair. A nice addition to that would be the ability to set the task due dates in a relative manner (ie one month before the date of event) so if the event date changed, the tasks due dates would still be timed appropriately.

Personally, I'd be looking for this feature to work similar to how it works on my Palm OS device (yes, I still use Palm OS):

Day:
* Every ___ day(s)

Week:
* Every ___ week(s)
* Choose which days of week (SMTWTFS); so a task can repeat every weekday, or every Monday and Thursday, for instance

Month:
* Every ___ month(s)
* Specify *day* (1st Sunday of every month) or *date* (4th of every month)
* Also include an option for X days before end of every month, where 0 would mean the last day of the month

Year:
* Every ___ year(s)

For each of the above, there should be the option to end the repeat on a specific date or keep it going forever.

Another vote from me. I'm new to Asana, but I like it so far. I'm currently using Todoist for my tasks, but as my group gets larger, I'm experimenting now with something for the team. Todoist works fine for ME in the recurring event department. What they do is similar to what you describe. Thanks!

One other thing to add to what I wrote above: As well as a standard recurring tasks (e.g. every week, every 2nd month, etc.), it would be nice to have a task type that schedules itself a period of time after the last one was done.

Say, for instance, I have a task to get a haircut. After I check that task off, a new "get a haircut" task is automatically scheduled for three weeks from that date.

When that next date rolls around, I'm too busy and have to wait a week to get a haircut. When I check *that* haircut off, the next one is automatically scheduled for three weeks from *that* date.

I agree with @Ryan Lundy as for the recurrence behavior with one caveat: The user should be able to select if they want it to be every 3 weeks firm, or every 3 weeks from the date completed. I have both scenarios at play here.

Clearly Recurring Tasks is a necessity. I am new to Asana too, and am playing with it before I bring my whole team on board. I am taking the rest of December to get familiar with it and hope by the time I'm ready to bring my staff on you'll have this function available. I think that ToodleDo does recurring tasks very nicely. It is possible to enter definitions such as "last Friday of the month" or "every Tuesday and Thursday" and it works out what you mean. As various other people have stated, a good implementation of recurring tasks requires some means of defining a start date for a task - which is probably needs to be more sophisticated than simply the default one week before the due date.

Look forward to seeing how you do this in asana.

This is a much welcomed feature I use recurring tasks frequently to schedule follow ups with clients, remember to pay bills, and pretty much just to stay on top of any task that I don't do on a daily basis. Here's how I'd like to see it in Asana:

*In the task view next to due date, add a section for frequency.
*Give option to repeat daily, weekly, bi-weekly, monthly, annualy from today or starting from a specific day.
*Give option to end on specific date, or never.
*Upon completion, show only the next recurring task.
*give option to display new recurring task in inbox, upcoming, or later.

Also LOVE amourence's idea of shared calendar. That's brilliant ;-)

I've been using the new repeat due date feature in Asana today, and while I love the ability to do this, I'm not finding the current setup easy to use. I appreciate the option to set specific repeat dates. But, it would be so much quicker to have a "weekly," "monthly," "quarterly," and "annually" option. I know it can get more detailed than that, but the current set up is timely for my monthly and quarterly tasks. Can you imagine if I had weekly repeating tasks?!?

I was asked to evaluate various task management systems, and Asana was my first choice. I was told that without recurring tasks Asana is not a viable option.

There are various recurring maintenance tasks that I need to assign. Off the top of my head I'd like to see the following (in addition to the other features already requested above):

1. Specify repetition first/last *business* day of the week/month/year. Ideally this would take typical holidays into account, and allow individual recurrences to be adjusted.

2. Make whether to "show all" recurrences optional, and if that option is off, make the time period before the next recurrence to add the task configurable in days.

3. Allow individual recurrences to be assigned to another person. For example, If Jane is the default assignee, I'd like to be able to assign individual recurrences of the task to Joe for the 2 weeks that Jane will be out on vacation.

Hasn't it already started rolling out? I can now see that my work-related workspaces' tasks can be repeated. Yesterday, there were fewer options with the frequency. I don't know if it's just me but today, I can set the tasks to repeat daily.
