Triggering AI Teammates manually

AI Teammates can be triggered to act in several ways:

Task assignment

Assign a task directly to your AI Teammate. The Teammate will read the task's title, description, and context, then begin working on it, posting comments, creating subtasks, or taking other actions as defined by its instructions.

@mentions in comments

You can @mention your AI Teammate in any task comment to ask questions, request actions, or provide direction.

  • Mid-task feedback: You don't have to wait for a Teammate to finish. @mention them at any time to provide feedback or redirect their work while it is still in progress. 

Comments on collaborative tasks

When someone with access to the AI Teammate posts a comment on a task where the AI Teammate is a collaborator, the Teammate may be triggered to respond if the comment is directed at it.

Triggering AI Teammates automatically

Rules and forms

You can use Asana rules and forms to trigger your AI Teammate automatically. For example:

  • Rules: When a task is added to a specific project section, assign it to the AI Teammate for triage
  • Forms: When a form submission creates a task, auto-assign the task to a Teammate

Recurring work

AI Teammates can handle recurring work in 2 ways:

  • Recurring tasks: You can set a task to recur on a schedule (e.g., weekly or monthly) and assign it to your AI Teammate. Each time Asana generates a new occurrence, your Teammate will pick it up and execute it automatically. This is ideal for routine operations like weekly status reports or daily backlog reviews.
  • Self-scheduled follow-ups: Your AI Teammate can also schedule its own follow-up during an execution. For example, you might ask it to "check back on this Friday at 9am" or "follow up on this next Monday." The teammate will return at that time and continue working on the task. This is useful for work that needs periodic attention but doesn't fit a strict recurrence pattern.

Viewing your AI Teammate’s activity

Once your Teammate is working, you can view what it’s doing by clicking View activity:

As it executes, you can interrupt it at any time in the task thread with guidance or clarification. 

AI Teammates quick-start guide

In any task, assign or @-mention an AI Teammate with a clear ask and constraints.

The AI Teammate will reply in the task and, when helpful, create or edit linked Google Docs or Sheets.

Review the draft, reply with edits, or approve and finalize, and the AI Teammate will iterate and mark relevant subtasks complete.
