Custom fields on users help you track additional information about team members, such as skills, hourly rates, and other relevant data. This enables better resource planning and team management by providing a structured way to capture and manage user-specific information.

Adding custom fields to users

  1. Navigate to a team page
  2. Go to the Members tab
  3. Click + Add field

Field access settings

Available on Enterprise, and Enterprise+ tiers.

When you create a new custom field, you can choose if the field is private or visible to anyone with access to the team.

To change the access:

  1. Click the drop-down arrow next to the custom field
  2. Select Edit field
  3. Click Field access settings
  4. Choose if you want the field to be private or visible to team members

You can also choose the privacy setting of the field by accessing the Field access settings when creating the field.

You can add members individually to private or public fields. When you invite users to a field, you can choose from three access settings:

  1. Field admin: Full access to change settings, modify, or delete the field
  2. Editor: Can add the field to work and edit the field options
  3. User: Can add the field to work and update field values

Adding restrictions to fields

Available on Enterprise, and Enterprise+ tiers.

If you want the custom field to be visible to everyone but only want certain team members to edit the values, you can add restrictions to the field.

To add editing restrictions to the field:

  1. Click the drop-down arrow next to the team’s name
  2. Click Edit team settings
  3. Navigate to the Advanced tab
  4. Click + Add restriction
  5. Select the field you want to add restrictions to
  6. Click Team admins only

If you want to control who can add new fields to a team:

  1. Click the drop-down arrow next to the team’s name
  2. Click Edit team settings
  3. Navigate to the Advanced tab
  4. Under editing permissions, you can change the Who can edit the team page? drop-down to All team members or Only team admins

Import a CSV file 

If you want to update custom field values in bulk, you can upload a CSV file with your data and the values will be created.

To upload a CSV file:

  1. Click the drop-down arrow next to the team’s name
  2. Select Import CSV
  3. Select the file you want to import
  4. Click Import

Filtering with custom fields on users

After adding and populating your custom fields on users, you can use these fields to filter people in Capacity planning and Workload views. Open either view, click Filter, and select the relevant values under Custom fields to refine the people shown.

This helps planners focus on specific groups when allocating work and reviewing load.
