Status update templates help teams share progress in a consistent and clear format. You can create templates with standard fields, headings, highlights, and attachments, then reuse them across projects. Templates can include placeholder text to guide authors and can use AI to suggest content based on the template structure.

Create a status update template

Open the project and select the Customize menu. Click Status templates, click +Add and select Create new create a new template. 

Add a template name, attachments, and any section headers, custom fields, key highlights, you want to standardize. Use ghost text to guide authors on what to include, then click Save.

 

Work in the new status editor

The status editor is unified across projects, portfolios, and goals. Instead of adding fixed sections, you write continuous content and can mix text with Highlights and Headers in the same editor. Drag in highlights like completed milestones or overdue tasks, and format content inline for a clear story.

Collaborate on a template draft

Open the template and click Edit to make changes. Add comments in the editor and invite collaborators by selecting Share to control who can view or edit. Save changes frequently to keep the draft current before you publish it for the team.

Choose and apply a template to a project

Open the project and click Set status and select Choose template to start your update with a saved layout. Review the prefilled sections and placeholders, then click Publish when you are ready to share.

Use the templates library

Open the templates library from the Set status dialog by clicking Choose template and selecting Templates library. Browse global templates, filter by use case, and preview the structure before applying. Select a template to start a new status with the predefined content.

Save an existing status as a template

Open a previously published status and click Save as template. Confirm the template Title and any defaults you want to keep, then click Save to add it to the templates library. The template captures the structure and placeholders, not the live data from the original status.

Add a status update to a bundle

Open your bundle and click Edit bundle. Select Add item and choose Status update template, then pick the template you want to include. Save the bundle so teams get the same status structure whenever they apply the bundle.

Permissions and access

Template owners can edit or delete their templates. Admins can manage who can create, share, and edit templates in their organization. Use the Share control on each template to change access for viewers and editors.

Use AI with templates

In the editor, click Ask AI to generate draft content based on your template structure. Review the suggestions and make edits to keep the update accurate and concise before publishing.
