Setting up your Asana profile

Your Asana profile helps your team identify you and creates a personalized experience throughout the platform. A complete profile builds trust with teammates and makes collaboration more effective. This article walks you through setting up your profile information, configuring notifications, and customizing your Asana experience.

Accessing your profile settings

To access your profile settings:

  1. Click your profile icon in the top-right corner of Asana
  2. Select Settings from the dropdown menu

Your profile settings are organized into several tabs that control different aspects of your Asana experience.

Setting up your basic profile information

Profile photo and name

Your profile photo and name appear throughout Asana, helping teammates recognize you in projects, tasks, and conversations.

To add or update your profile photo and name:

  1. Navigate to the Profile tab in your settings
  2. Click Upload new photo or Remove photo if you want to change an existing image
  3. For best results, use a square image at least 128x128 pixels
  4. If you don't upload a photo, your initials will display as a placeholder
  5. Enter your full name in the Full name field

From your profile, you can also set an “out of office” to show when you will be away, as well as when you will be back working again. Your out of office will show that you are away on any tasks assigned to you or when you’re @mentioned anywhere in Asana.

Professional information

Complete your professional details to help teammates understand your role:

  1. Job title: Enter your job title or position
  2. Role: Choose one of the options from the drop-down
  3. Department or team: Specify which department or team you belong to
  4. About me: Add a brief description of your role, working hours, or how teammates can best reach you

Configuring notification preferences

Managing notifications effectively prevents inbox overload and helps you stay focused on important updates. You can receive notifications through your Asana Inbox, Slack, email, or browser. Here you can find useful tips on how to check and manage your inbox.

Email notifications

To configure email notifications:

  1. Go to the Notifications tab
  2. Open the Email notifications drop-down
  3. Choose your preferred email notifications

We recommend turning off email notifications and using your Asana inbox as your single source of truth for updates. This reduces email clutter and centralizes all work-related communications.

Project and portfolio notifications

Set default notification preferences for projects and portfolios you join:

  1. In the Notifications tab, find the Project notifications/Portfolio notifications section
  2. Choose default settings for:
    1. Status updates: Updates on project/portfolio progress and milestones
    2. Messages: Team conversations and announcements
    3. Tasks/Work added: Notifications when new tasks are created in projects or new work is added to portfolios
  3. Click Manage individual projects/portfolios to customize notifications for specific projects/portfolios you're already part of

For most projects and portfolios, "status updates" provides sufficient information without overwhelming your inbox. Reserve "tasks added" and "work added" notifications for projects and portfolios where you need to monitor all new work.

Customizing your display settings

Theme and appearance

Personalize your Asana interface:

  1. Go to the Display tab
  2. Choose your preferred theme:
    • Light: Traditional light background
    • Dark: Dark mode for reduced eye strain
    • Sync with system: Automatically matches your device's theme setting

Managing apps and integrations

Connected applications

View and manage third-party apps connected to your Asana account:

  1. Navigate to the Apps tab
  2. Review Authorized Apps to see which applications have access to your Asana data
  3. Click on any app to modify permissions or remove access

Email forwarding

Set up email addresses that can create tasks and messages in Asana:

  1. Go to the Email Forwarding tab
  2. View existing email addresses that can create tasks in your workspaces
  3. Add new email addresses or remove existing ones as needed from the Account tab
  4. Choose which workspace or organization receives tasks from each email address

Account security and management

Password and security

Maintain account security:

  1. In the Account tab, you can update your password
  2. Log out of all other sessions if you suspect unauthorized access
  3. Review your organization and workspace memberships

Account deactivation

If you need to deactivate your account:

  1. Go to the Account tab
  2. Click Deactivate account

Deactivation removes your access to all organizations and workspaces, but the organizations themselves continue to exist. You'll need to create a new account if you want to use Asana again.
