Organize and track work with portfolios and projects

Start by creating a dedicated project for your marketing strategic planning:

  1. Click Create in the top navigation
  2. Select Project from the dropdown menu
  3. Choose a template or start from scratch
  4. Name your project using a clear convention like "Marketing Strategic Planning - [Year]"
  5. Add team members who will contribute to the planning process

Critical tasks are multi-homed in different projects to ensure visibility and alignment.

Then set up a dedicated planning portfolio in Asana. This portfolio tracks progress on various related initiatives. By organizing all planning efforts within the portfolios, you'll ensure that no initiative falls through the cracks.

  1. Navigate to Portfolios in the sidebar
  2. Click Create portfolio
  3. Add relevant marketing projects to track progress
  4. Use the Progress tab to create status updates for stakeholders

Keep process in sync at scale with bundles

As processes evolve, it’s hard to update dozens of active projects one by one. Bundles let you package components—sections, rules, custom fields, task templates—and apply or update them across many projects in one action. 

In any project, go to the  Customize menu and select Bundles to create or apply a bundle. Select the elements to include, choose the projects to update, and publish. Reuse the same bundle whenever you make process improvements.

Centralize communication with Google Drive

To combat fragmented communication, you can integrate Google Drive with Asana. The main planning document is linked to relevant tasks, enabling centralized document access.

Notifications for comments or updates on the document appear directly in Asana, keeping all conversations in one place and reducing information silos.

Streamline team planning with project templates

Project templates ensure your team follows the same planning structure every time.

  1. Create a project and customize it to your needs, the click on the drop-down arrow next to the project title
  2. Click on Save as template

Provide visibility with dashboards

Dashboards can help you visualize data and report on progress. Sets up dashboards within portfolios to track key metrics like task completion rates and recently completed tasks. These dashboards provide you real-time updates on team progress without needing individual follow-ups, enhancing leadership visibility.

Custom fields power reporting, so be sure to add custom fields to your projects.

To create a portfolio dashboard:

  1. Navigate to your portfolio
  2. Click on the Dashboard tab
  3. Click + Add chart

You can choose from various chart types, including:

  • Bar
  • Stacked bar
  • Grouped bar
  • Line
  • Burnup
  • Burndown
  • Donut
  • Number
  • Lollipop

Use smart summaries for in-depth insights

You can leverage AI-driven smart summaries in Asana for insights and highlights into recent work. You can leverage smart summaries on tasks, projects, portfolios, inbox and Slack.

Use smart status for advanced insights

Use Asana AI for advanced insights on strategic initiatives, including upcoming milestones and potential blockers. AI-generated status updates help communicate effectively with stakeholders, providing timely and accurate information.

  1. Navigate to your project Overview tab and choose the current status of your project on the right hand side to begin drafting a new status update.
  2. Click the Draft with AI button to draft a status update using Asana AI
  3. Select the status and choose the dates in which you’d like to include insights
  4. You can add any instructions or content you'd like Asana AI to include
  5. Click Draft update

Once a draft is generated, you can choose to Discard, or Edit the draft. Once you've edited the draft to your liking, you can post the status by clicking Post in the top right corner.
