Managing clients, contacts, and custom fields

The Clients list

Clients is the index list of every client account you manage. It works like a customer relationship management tool inside your Asana.

At the top of the Clients list you can switch between multiple views:

  • All Clients: Every client in your workspace.
  • My Clients: Only the clients you own.
  • Custom: Click the + icon to create a new view.

Customize your views by clicking on the Filter, Sort, or Group options. 

Select any client and click on View client to open its profile, where you’ll find its projects, contacts, and portal.

How to add a client

To add a client:

  1. Open Clients and click + Create client.
  2. Enter a name in the Name your client field.
  3. Optionally, you can also add a description, website, address, client health status, start date, and renewal date.
  4. Under Client contacts, add a contact’s Name and Email address. Select + Add another contact to add more than one contact.
  5. Click Create.

How to add a contact

Contacts are the people at a client that you work with. They live on the client’s Contacts tab, so the businesses you work with and the people inside them stay together instead of scattered across projects.

To add a contact:

  1. Click on a client 
  2. Click View client
  3. Select the Contacts tab.
  4. Click Add contact.
  5. Enter the contact’s name and email, and consider populating any other fields you use, or adding custom fields.

 

Alternatively, you can navigate to Contacts in your navigation sidebar to add a new contact and associate it with the related client record. 

From here, you can also add custom fields, making it easier to track contact-specific information across your client accounts.

If you haven’t added any contacts as part of the client creation workflow, you will see No client contacts yet in the Contacts tab. If you have added more than one contact, you can set your primary contact in the Point of contact field. 

How to add custom fields to your clients

Every client record includes a set of built-in fields: Website, Address, Point of contact, Client health, Start date, and Renewal date. These give you a consistent place to track key details about each client relationship.

You can also add custom fields to capture information specific to your team, such as account tier, region, or ARR. Custom fields appear as columns in the Clients list, giving you a single view across all your accounts.

To add a custom field to your client:

  1. Navigate to your clients list 
  2. Click the Add field icon next to the existing fields
