The customize menu is always found in the top-right corner of a project or My tasks.

Customize menu location

The customize menu is in the top-right corner of each project, portfolio, and My tasks. Click Customize to open the menu and view options, such as forms, rules, and custom fields, to take your work to the next level.

Rules

Rules eliminate manual work by automatically performing actions when specific conditions are met.

To automate your work, click Customize and select Rules from the list. By defining triggers and actions, you can rely on rules to handle routine tasks or add movement to your workflow without manual intervention. Asana offers preset rules to get you started and the ability to build your own custom rules when you’re ready to add a little more complexity.

Bundles

If you want to standardize workflows across your team, click Customize and select Bundles from the list. Bundles allow you to use your fine-tuned workflow across many projects simultaneously without having to create the workflow from scratch each time. As well as that, editing the bundle means that the changes will be reflected in every project using that bundle.

Using custom fields to organize your work

Use custom fields to add additional data to each task and report on tasks based on custom field values. To add a custom field to a project, click Customize and select Fields

Select from a wide variety of field types: numerical, text fields, date, and people fields (distinct from due date and assignee fields), and time tracking. You can limit the use of the custom field to one project or add it to your organization’s field library to enable its use across multiple projects. This allows you to standardize information in tasks in projects across your organization.

Use multi-select custom fields to add numerous values simultaneously. A multi-select custom field still represents one field, but you can add multiple values to the task.

Custom fields let you color-code tasks in timeline view. In timeline view, click Options in the top-right corner, click Layout options and choose a custom field from the list. Tasks on the timeline will display the color of the custom field you’ve chosen.

Adding an app

  1. In the customize menu, click Apps
  2. Click + Add
  3. Browse available integrations or search for specific tools
  4. Follow the setup instructions for your chosen app

Save time with task templates

Task templates help teams maintain consistency and save time on repetitive processes.

Standardizing how tasks are created in a project means that everything from assignees to custom fields and relative due dates can be handled with minimal effort. You can incorporate dependencies and subtasks to add another level of sophistication to your workflow without the complexity of creating a task from scratch each time.

Creating a task template

  1. In the customize menu, click Task templates
  2. Click +Add
  3. Set up your template with:
    1. Task type
    2. Task name and description
    3. Subtasks and dependencies
    4. Custom field values
    5. Default assignee and due date

When to use task templates

  • Meeting notes: Standardize agenda formats
  • Content creation: Ensure all content follows the same review process
  • Bug reports: Include all necessary technical details
  • Onboarding: Create consistent new hire experiences
