Share project access with a portfolio

Available on Asana Advanced, Enterprise, and Enterprise+ plans. See our pricing page for more information.

Project–portfolio access sharing allows project admins to give visibility and access to all members of a parent portfolio. This keeps permissions aligned across related work and removes the need to manually configure access for every project in a portfolio.

When a project admin shares project access with a portfolio:

  • All members of the parent portfolio automatically get access to the project.
  • Members inherit the same access level on the project that they have on the portfolio
    • Portfolio admin → Project admin
    • Portfolio editor → Project editor
  • Any membership or role changes made at the portfolio level automatically sync to the project.

This creates consistent, up-to-date access across all connected work, without needing to manage every project individually.

How to share a project with a portfolio

From the project

  1. Open the project.
  2. Click Share.
  3. At the bottom of the share modal, select Manage access.
  4. Choose the portfolio(s) you want to share access with.
  5. In the role dropdown, select Same as portfolio.

What happens after enabling

  • All current portfolio members are added to the project with their portfolio-level roles.
  • Any changes to the portfolio’s membership automatically update the project.
  • The project appears as a connected project in that portfolio.

Project visibility

Portfolio visibility determines project visibility

Sharing a project with a portfolio inherits the visibility of that portfolio.

If you share a private project with a public portfolio, the project becomes visible to everyone who can see that portfolio.

Because public portfolios are visible to all members of the team or organization, connecting a private project to a public portfolio expands its visibility.
