What your client has access to in Asana Client Management

To purchase Client Management, your organization must have an active Starter or Advanced base subscription. Client Management is not included in these plans by default.

Asana Client Management serves two distinct audiences. Your internal team works across the client directory, contacts, projects, team capacity, and the client portal. Your clients only ever see one thing: their client portal. This article explains what clients can access and do within that space.

Client users follow the same access model as guests in Asana, meaning they only have access to what is explicitly shared with them. In Client Management, the only thing ever shared with a client is their client portal, a single private space created automatically for each client. Nothing else in your Asana is visible to them.

Clients need an Asana account to access the portal. If they do not already have one when they are invited, they will be prompted to create one. Inviting clients to the portal does not consume a license on your paid plan.

In the client portal, clients can:

  • View and comment on progress updates in Overview.
  • Comment on tasks, complete the tasks shared with them, and create new tasks by clicking New request in the Tasks section.
  • View project tasks in Timeline.
  • View, download and upload  files in the Files tab.

In the client portal, clients cannot:

  • Access the rest of your Asana. 
  • See the sidebar, Inbox, Home, or Search, and they cannot open internal projects.
  • Invite or remove other people, or manage the portal.
  • Delete files uploaded to the portal.
  • Use Asana AI.
  • See custom fields or tags on tasks.
  • Add subtasks or create a follow-up task.
  • See the full activity history on a task; they can only see comments.

Managing guest access for clients

When someone is invited to a client portal, they are added as a guest on your Asana domain and will appear in the admin console under Manage users in the Guests tab. Guests shown with a Client badge in the License column are limited to the client portal only. Guests without this badge retain broader access to your Asana. 

To see who has access to a specific client's portal, open the client record and click Share. The Members list does not filter guests by portal.

Admins can navigate to the admin console to make domain-wide changes such as updating a guest's role or removing them from the domain entirely. Adding or removing someone from a specific portal is managed from the client record.

Restricting an existing guest to the client portal

If someone was originally invited to your Asana domain outside of a client portal, such as directly to a project, they will have full guest access to your Asana in addition to any portals you have shared with them. To restrict them to the client portal only, an admin can update their license in the admin console.

Keep in mind that making this change will remove the guest's access to the rest of your Asana, including any projects or tasks they previously had access to.

  1. Go to the admin console and select Manage users.
  2. Click the Guests tab and find the user you want to update.
  3. Click on the user to open their settings, then select the Licenses tab.
  4. Under Client Management, change the license from Advanced to Client.
  5. Click Save changes.

Once updated, the guest will have a Client badge in the License column of the Guests tab. They will only be able to access the client portals they have been invited to and will no longer be able to reach the rest of your Asana.
