Pages is a collaborative workspace in Asana where teams can draft, discuss, and turn decisions into action—all in one place. With Pages, you can create planning briefs, decision docs, and project documentation with real-time collaborative editing, inline comments, and AI-powered assistance. Convert content directly into tasks with owners, eliminating the need to recreate work across multiple tools. Pages keep discussion, decisions, and execution connected, reducing context switching and accelerating follow-through.

How to create a page

There are two ways to create a new page in Asana:

  1. Navigate to the project where you want to create a page
  2. Click the + button or use the create menu
  3. Select Page from the options
  4. Give your page a title and start adding content

Or click the Create button, and select Page.

Once created, you can attach a page to any project, task, portfolio, or team, or leave it standalone.

Finding your pages

Pages live in Knowledge mode, the dedicated navigation tab for all document-type objects in Asana. To get there, click Knowledge in the left sidebar. You'll see all pages you have access to, organized by where they're attached (project, portfolio, team, or standalone).

You can also find pages attached to a specific project by opening that project and navigating to the Files tab. 

Writing and formatting

The Pages editor supports rich text formatting: headers, bullet lists, numbered lists, bold, italic, code blocks, and more. Use the / (slash) command to quickly insert formatting, blocks, or AI actions without leaving the keyboard.

Collaborative editing

Pages supports real-time collaboration.

Real-time co-editing

  • Multiple team members can edit simultaneously. 
  • Live presence indicators in the top-right corner show who's currently viewing or editing. 
  • Changes appear live; there's no need to refresh. 

Inline comments

Inline comments allow you to leave feedback directly on specific sections of a page without losing context.

To add an inline comment:

  1. Highlight the text you want to comment on.
  2. Click the comment icon that appears.
  3. Type your comment and post it.

 

 

Inline comments form a thread, allowing team members to reply and resolve discussions in context. Comments are visible to anyone with at least viewer access; reading a doc means reading its conversation.

Inline comments are available on desktop and web. Mobile users can view pages but will not see inline comments.

Version history

Every change to a page is tracked. Version history lets you review changes and restore previous versions if needed, giving your team a reliable record of how content has evolved.

To review or restore a previous version:

  1. Click the three dot icon in the top-right corner of the page.
  2. Select Version history.
  3. Browse versions by date and time. Click any version to preview it.
  4. Click Restore this version to roll back.
  5. On paid plans, version history is retained on a rolling basis. On Asana Personal, one version snapshot is available.

Converting content to tasks

One of the most powerful features of Pages is the ability to turn content into actionable work.

Highlight-to-task

  1. Highlight the text you want to convert
  2. Click the option to create a task
  3. The task is created with an AI-generated title, the highlighted text as the description, and a link back to the page.

Using AI on your pages

Pages includes AI-powered features to help you work more efficiently. 

To open the AI sidebar, click the AI button in the top-right corner of any page, or use the / slash command and select an AI action.

Inline quick actions

Highlight any text on the page and refine with AI: 

For more involved requests, open the full AI sidebar and describe what you need. The AI has context about your page content and can:

  • Draft or expand sections
  • Summarize the full page or a selected passage
  • Extract action items from meeting notes or brainstorms
  • Suggest a structure for a new doc
  • Answer questions about content on the page

You can continue a conversation across multiple follow-ups. The AI retains context within the session.

 

Attaching pages to work

Attaching a page connects it to a project, task, portfolio, or team — and extends access to the members of that object.

To attach a page:

  1. Click the three dot icon at the top-right corner of the page
  2. Select Attach to
  3. Type the name of the task, project, portfolio, or team where you’d like to attach the page.

Access note: When you attach a page to a project, you can either give access to members and all project members inherit access at their equivalent role level, or you can add the page as a tab in the project.  

Sharing and access

Pages have three access levels:

By default, a page inherits access from the project or object it's attached to. You can also share a page directly:

  1. Click Share in the top-right corner.
  2. Add team members by name or email and select their access level.
  3. Click Send invite or Copy link.

Standalone pages (not attached to any project or team) are private by default. Only you can see them until you explicitly share or attach them.

Frequently asked questions

What's the difference between Pages and other documentation tools?

Pages is built directly into Asana's work graph, meaning your documentation lives alongside your tasks and projects. 

Is Pages the same as Notes? 

Yes. Pages was previously called Notes. All your existing Notes are now Pages. Nothing has changed about where they live – your notes in tabs will remain in your projects. 

Who can see my pages?

Pages follow Asana's standard permission model. Access depends on where the page lives and who has access to that project or space.

Can I use Pages on mobile?

Yes. You can create and edit pages on the Asana mobile app. Some features, including inline comments, are available on desktop and web only.

What happens if two people edit the same section at the same time?

Pages supports real-time collaborative editing. Changes from multiple editors appear live. If a conflict occurs, the most recent change takes effect. Version history lets you review and recover any content if needed.

Who owns a page created by an AI Teammate?

The person who requested the AI Teammate action is listed as the page owner.

Can I search for pages?

Yes. Pages appear in Asana's universal search. You can also use Advanced search to filter by object type and find pages across your workspace.

Can I export or share a page with someone outside Asana?

External sharing is not currently available. Pages can be shared with Asana workspace members only.
