Division access and management FAQ

A division plan allows you to upgrade multiple teams under one subscription. Each division member will only count towards a single seat, even if they are members of multiple teams within that division. This article covers division FAQs relating to accessing paid features, trials and adding existing work to your division.

My company has a paid division, why don’t I have access to paid features?

You may be working on a task that is located outside of the division. Task collaboration does not trigger a license assignment. In order for paid features to be available to you, you must be invited to a project, portfolio, or goal, or added to a team.

If you created an Asana account on your own, you land in the broader organization outside the paid division. You will need to be added to an object (project, team, portfolio, or goal) or invited directly in the admin console to consume a license.

If you would like to be added to the division, you can reach out to the division’s admin. Division admins can add users to the division and manage division members via the admin console. Division admins and billing owners can also manage their division’s subscription through the billing tab of the admin console.

How are licences assigned in divisions?

There are two ways licenses can be assigned:

  • Admins can manually add licenses to users within the admin console via the Invite members icon in the Members tab.
  • Additionally, certain collaborative actions will trigger automatic license assignment. This ensures collaboration in Asana is seamless for both the sharer of a work object (project, portfolio) and the person the object is shared with.

Here's how automatic license assignment works:

When a licensed user shares an object (project, portfolio, or goal) with a free user or invites a free user to a team, the free user is automatically granted a paid license in the same division as the licensed user. Also, when a free user is invited to a licensed team, that will automatically add a license to the division that licensed team is in.

How can I collaborate with users from other divisions?

If you are already part of a paid division, you can invite a member from another division to collaborate with you on Asana objects. For example, let’s say that you are in an Advanced division and you invite someone from a Starter division to collaborate with you on a project. That Starter user would still only be tied to their Starter division, and would not get added to your Advanced division.

Note that, while you can collaborate with users across divisions, users can still only see features that are included in their specific subscription.

Trials

I'm part of my company’s division subscription but see a warning that my trial will end soon, what does this mean?

If you’ve recently signed up and started a free trial, you may see a countdown banner telling you when your trial will end. It’s possible that this won’t make sense to you as you are already working within your company’s paid division. This banner refers to your own trial for a separate team or division you’ve created and is completely separate from your company’s division subscription. While this can be confusing, there generally will be no impact on your work when this trial ends. You can follow the steps here to cancel your trial or you can reach out to our Support team for assistance.
